The Quote Was Never Binding

The single most common reason a long distance move falls apart is that the price was given over the phone, on a web form, or by a salesperson who never saw your home. That number was always an estimate in the loosest sense of the word – a number designed to win the booking, not to reflect the actual job. When the truck arrives and the crew weighs the load, the real bill appears. By then, your furniture is already on the truck and your options are limited.

The Crew Was Not Employed by the Company You Hired

A large share of long distance moves are brokered – the company you book with sells your job to a carrier you’ve never heard of, and a crew sourced from a text message shows up at your door. You have no relationship with them, they have no relationship with your belongings, and when something goes wrong there’s a paperwork argument between two companies about who is responsible. You can usually tell this happened when the name on the truck doesn’t match the name on your contract.

The Delivery Window Was Never Committed in Writing

Long distance movers are required by federal regulation to provide a delivery spread, but many quote a range so wide – seven to twenty-one days is not unusual – that it offers no real protection. When your shipment sits in a warehouse hub waiting for a truck going your direction, the window slips. If no one calls you first, and no one has a name answering the phone, the shipment effectively disappears. You find out where it is when it shows up – or when you start calling around yourself.

The Company Held the Load Pending Additional Payment

Hostage loads are illegal under federal law, but they still happen. The mechanism is usually a “revised weight ticket” or “additional services performed” charge added at destination – and the crew won’t unload until you pay. This is almost always a downstream consequence of a non-binding quote: the company underpriced to win the job, then collected the real margin at delivery when you had no leverage. What to Do Right Now

  • Pull out every document you signed. Find your bill of lading, your order for service, and the original estimate. These are the documents that determine your legal rights. If the price charged differs from the binding number on your paperwork, that difference is the dispute – put it in writing immediately.
  • Photograph everything before it comes off the truck. If your shipment is arriving or has arrived, take photos of the truck exterior, the paperwork presented to you, and any visible damage to boxes or furniture before signing anything. Signing a delivery receipt without noting damage can limit your options later.
  • Do not sign a revised bill of lading under pressure. If you are being presented with a number higher than your binding quote and told you cannot have your belongings until you pay, note the amount, the name of the person presenting it, and the time – then call the company’s main number and ask for a supervisor. Put your objection in writing, even a text or email, before signing.
  • Stop using anything that arrives damaged. If a piece of furniture or a box arrives and something looks wrong, set it aside and document it before using or unpacking further. Use in some cases can complicate a damage claim.
  • Contact your mover’s claims desk in writing, within the timeframe on your contract. Federal rules give you a minimum window to file a claim, but your contract may define a shorter one. Send the claim in writing – email with read receipt, or certified mail – and keep a copy.
